Student Fees & Participation Costs

Greetings SD 308 Families, 

We are very excited to welcome our students back to school next week; several athletics and activities are already underway! 

This communication will explain the difference between student academic fees and student participation costs, and our procedures for collection of each expense. School Board Policy 4:140 outlines that students must be financially eligible in order to participate in athletics and activities.

  • Student Academic Fees include registration, course, and technology fees. 
  • Student Participation Costs include athletics, clubs/activities, and special events.

Student academic fees are eligible for payment plans; student participation costs are due in full at the time of the sport, activity, or special event and are not eligible for payment plans. However, our district does offer a waiver application, and for students who qualify, some or all of these expenses may be covered. 

To participate in a sport or activity, students must have the participation cost paid according to the timelines below, and remain both financially and academically eligible. 

Waiver
Our district does offer a fee waiver application process. For families that qualify, the waiver may cover some or all of the student fees and certain participation costs. 

Payment Plan
Student academic and curricular fees can be placed on a payment plan. The plan does require a minimum payment of $50 per month, per student. For students to remain financially eligible for participation in extracurricular activities, payment plans must be kept current.

Financial Eligibility
Financial eligibility is determined on the last business day of each month. Families who have not satisfied the minimum payment requirement for the previous 30 days will be notified of their student(s) ineligibility to participate in sports contests and activities beginning the following week and continuing until the payment is made. 

If a student  is determined  to be financially  ineligible, and the family makes the minimum payment due on their payment plan, the student’s participation will be reinstated. Families should provide proof of the payment in PushCoin to the athletic office or main office during business hours (7:30am- 3:30pm), for eligibility to be reinstated that day and through the remainder of the month. The Finance Department can assist with providing proof of payment, if needed.

Detailed Information on Fee Timelines:

High School

Athletics
High School Athletic fees ($300) must be paid in full within 30 days after the charge appears on the student’s PushCoin account, which will be added once rosters are finalized.  As mentioned above, if a family/student is on a payment plan for student academic fees, the payment plan must also remain current for students to remain financially eligible for participation.  

Extracurricular Activities, Clubs, and Dances
To participate in any activity without curricular impact and to attend prom/homecoming dances, students must pay for the participation cost at the time of ticket purchase. Additionally, academic and financial eligibility is required in order to participate.

Junior High
If a family/student is on a payment plan for student academic fees, the payment plan must also remain current for students to remain financially eligible for participation.

Activities/Clubs
Students must have participation costs for any extracurricular activities/clubs/events (without curricular impact) paid in full two days prior to the first official meeting/event. 

Athletics
Athletic participation costs must also be paid in full within two days of the first event to continue to dress for and participate in contests.

Elementary
If a family/student is on a payment plan for student academic fees, the payment plan must also remain current for students to remain financially eligible for participation.

Activities/Clubs
Participants must pay any applicable participation costs within two days of the first meeting/club/event, and the student account must be paid in full or on a current payment plan.
